Finance & Operations Administrator


The Finance & Operations Administrator is responsible for the smooth running of Collabox's administrative, financial, and legal operations. This role is essential in ensuring fast and professional communication, accurate financial reporting, and proper management of documents and taxation according to regulations. The ideal candidate is detail-oriented, responsive, and able to collaborate across divisions to support Collabox’s efficiency and long-term sustainability.


Key Responsibilities

Communication & Inquiry Handling


  • Respond to all inquiries via Instagram, TikTok, WhatsApp, Facebook, LinkedIn, Email, and Website within a maximum of 30 minutes.

  • Send offers via Wix and distribute them through WhatsApp and Email.

  • Create customized quotations based on client needs using existing templates.


Finance & Accounting


  • Ensure all financial reports are submitted accurately and on time, according to best practices.

  • Manage budgets, financial data entry, and expense reconciliation.

  • Every Saturday, check bank transactions and reconcile Collabox income.

  • Weekly: ensure all divisions and Collabox branches have valid financial reports.

  • Close monthly books by the 25th and send billing recaps to management and Bu Lina.

  • Prepare and present a one-pager project/division financial evaluation within 3 days after closing books.

  • Compile quarterly and annual financial reports.


Tax & Compliance


  • Handle all corporate tax obligations, including withholding tax slips (Bupot) and income tax reporting (PPh).

  • Ensure timely and compliant tax filings.


Administration & Legal


  • Manage, organize, and archive all legal and administrative documents.

  • Take care of business licensing, permits, and other operational legal documents for Collabox.

  • Ensure all agreements comply with regulations and monitor validity/expiration.

  • Record and archive meeting minutes.


Cross-Divisional Support


  • Manage fund requests and procurement; coordinate with managers and directors.

  • Support all Collabox divisions and branches in reporting and other administrative needs.

  • Competitive salary for Semarang (Rp2,600,000 – Rp3,400,000) based on experience.
